About Signeasy

Contracts run businesses. We're unlocking the intelligence inside them.

Signeasy began 16 years ago with a simple idea: signing should be easy. That idea helped the world go paperless. But signatures were only the beginning.

Today, the real problem isn't signing contracts. It's what happens after. In most companies, contracts sit scattered across inboxes, shared drives, CLMs, ERPs, and filing systems. They're static, forgotten, and underused, yet they quietly define revenue, risk, compliance, and growth. We believe contracts are one of the most powerful and most overlooked sources of truth in a business.

2025 changed everything. While others continued to treat contracts as paperwork, we began turning them into living, searchable, and intelligent systems of record. We shipped more than 250 product releases, achieved 21 CFR Part 11 compliance, and were featured at Apple's WWDC, all while building the foundation for what comes next.

2026 is our biggest year yet. With the launch of Intelligent Contract Management, we're going to market with an AI-powered contract management platform built for modern teams who expect more than storage, signatures, or status quo software.

This is the moment, and this is the team building it. If you want to help shape the future of contracts with us, read on.

Your role

As our Business Admin, you'll be part of the People team and the operational backbone of Signeasy. You'll own the employee experience from offer acceptance to exit, work directly with our C-suite on their calendars and travel, keep our workplace and tools running well, and support our Finance team as the role grows. This is a 1-year, full-time contract position.

It's a broad role with plenty of variety. On any given day, you might be getting a new joiner ready for Day 1, planning an executive's trip to Dallas, and closing out a laptop return. You'll bring structure to all of it, and you'll use AI to work faster and smarter along the way.

If you enjoy being the person others rely on to get things done, and you'd like visibility across the whole business, you'll find a lot to love here.

What you'll do

People operations

  • Manage employee records, documentation, and HRIS data so they're always accurate and current and maintain HR trackers and reports
  • Act as the first point of contact for employee questions on HR processes, policies, and tools
  • Plan and coordinate engagement activities, celebrations, and internal events

Onboarding and offboarding

  • Own onboarding and offboarding end to end, tracking every step to completion - Coordinate pre-joining logistics: offer documentation, swag, laptop setup, and Day 1 readiness
  • Grant and revoke access to tools and systems, making sure each person has only the access their role requires
  • Run structured exits: laptop recovery, access removal, and clean handovers
  • Maintain a single source of truth for every joiner and exit

C-suite support

  • Manage calendars for our C-suite executives, including scheduling, rescheduling, and prioritizing meetings
  • Plan and book domestic and international travel end to end: flights, hotels, visas, local transport, and itineraries
  • Plan and coordinate meetings and offsites for the C-suite, from scheduling and venues to on-the-day logistics
  • Handle confidential information with discretion and sound judgment

Workplace and admin operations

  • Keep the office well managed, well stocked, and organized
  • Coordinate with vendors on supplies, equipment, and services
  • Prepare the work-from-office analysis report in partnership with our workspace vendor

Laptops and tools

  • Manage the laptop lifecycle: forecasting needs, procurement, allocation, servicing, and recovery
  • Maintain the laptop asset sheet as the master record: device, serial number, owner, condition, and status
  • Support device enrollment and compliance through Kandji
  • Administer everyday tools like Google Workspace, Microsoft 365, Slack, and Zoom, and keep track of licenses and accessories

Finance support

  • Support the Finance team with documentation, records, and routine admin tasks as you settle in
  • No prior finance experience is required. You'll learn on the job.

AI and automation

  • Use AI tools for drafting, summarizing, data cleanup, and reporting
  • Build simple automations and templates that reduce manual, repetitive work
  • Keep improving our trackers and workflows so they're smarter, not busier

Who you are

We're looking for someone structured, detail-oriented, and people-first: a dependable operator who takes ownership and keeps things moving.

  • 2 to 3 years of experience in HR operations, business administration, or executive support (a blend is ideal)
  • Excellent organization and documentation skills, with a track record of keeping trackers and calendars accurate
  • Hands-on experience with Google Workspace and/or Microsoft 365
  • A basic understanding of access management and device setup
  • Comfort using AI tools to work more efficiently
  • Discretion and sound judgment with confidential information
  • Strong written and spoken English, schooled in an English-medium institution, with a clear, service-minded communication style
  • Self-driven, reliable, and calm under pressure, with the ability to manage multiple priorities

Why you'll love this role

This role gives you a rare view of the whole company. You'll work closely with our C-suite, partner with every team, and see firsthand how HR, operations, and finance come together as we scale.

Your work will directly shape the employee experience at Signeasy: how smoothly people join, how reliably their tools work, and how efficiently the business runs day to day. That's what lets our product, engineering, and sales teams stay focused on building the future of contracts.

It's a high-trust role with real ownership and clear room to grow, starting in HR and admin and expanding into broader operations over time.
